The Princess Ballroom Foyer

Before entering ballrooms to set-up, Sponsors may check-in to receive their name badges. This will expedite entry into that evening’s VIP Cocktail Party that begins at 7 pm. You will not be allowed to pick up anyone else’s badge other than your own. A photo ID will be required.

5:30 pm – 7:00 pm

Gold, Silver, Bronze, and Copper Sponsors are allotted a 10’x10′ space and will be provided a 6’ x 30” skirted table with two chairs.

Ruby Sponsors are allotted space to display one 8′ tall x 3′ wide banner and will be provided a small round 30″ x 30″ high draped table with one chair.

If you have ordered any AV services, please allow extra time to set up. If there is any possibility you or your team will not be able to set up at this time, you MUST contact [email protected] to make special arrangements.

A gathering of Pitbull Conference attendees & sponsors, kicking off what will be a great event! Please plan to join us for some music, cocktails and hors d’oeuvres.

This event is for registered Sponsors, VIP, Premier & General Admission guests only. RSVP required.

Booth Numbers & Assignments

When shipping packages or ordering AV rentals, you do not need to provide a booth #. We will inform the hotel of your booth location and they will accommodate accordingly.

Shipping Packages To & From the Hotel

Regardless of carrier, all shipments to and from the Fairmont are handled by the FedEx office on site. Here are the two docs you need to download:

  1. FedEx Shipping Instructions
  2. FedEx CC Authorization Form (Only the bottom portion of this form needs to be completed.)

Important Notes

  • To cover handling fees, a completed Credit Card Authorization Form MUST be submitted to the Fairmont’s FedEx office.
  • Without this form on file, packages will NOT be released.
  • All packages properly labeled (with CC Authorization Form on file) will be brought directly to your booth.
  • Although packages will be left at your booth without you there to sign for them, you may miss your opportunity to audit your shipment with the FedEx staff who leave at 6 pm.
  • We HIGHLY recommend you go into or call the FedEx office well in advance of Sunday’s Sponsor Set-up to confirm payment arrangements are in order, and if desired, notify them what time you will be at your booth to take delivery and count your packages.
  • Track packages to avoid surprises.
  • Have all tracking numbers on hand. Without this information, it is impossible for the FedEx staff to locate missing items.
  • Schedule your shipment to arrive four days before the event start date to avoid additional storage fees.
  • Use only the name of the recipient who will be onsite to receive and sign for the packages.
  • Do NOT include any hotel contact name on your package.
  • Do not hesitate to contact the Fairmont’s FedEx office for clarification.
  • A FedEx rep will stop by your booth sometime on Monday to offer their assistance with your return shipments.

AV & Electrical Order Form

If you require assistance with any audio visuals such as monitors, internet connection, or access to electrical for your booth, arrangements must be made in advance by submitting the Exhibitor Order Form.

To guarantee service, forms must be submitted no later than Thursday, Oct 17th.

Within 72 hours of receiving your order, you will receive a quote including tax and service fee calculations. Once signed and returned, you will receive a Fairmont email directing you to a secure site to enter your credit card information. Your order is NOT confirmed until your credit card is processed for payment.

Monday Evening Booth Breakdown

Please do not begin breaking down your booth until Mr. Rosen has formally concluded the event. This should be at approximately 5:30 pm.

If you would like to make an appearance at the After Party before breaking down your booth, the ballroom will be open until 8 pm.

Charging Stations

The only charging stations allowed at the event are those provided by Pitbull Conference, with branding rights available for purchase.

Pitbull Conference Networking App

With the goal of taking your event experience to the next level, Pitbull Conference will be using our own networking app—a fantastic networking tool and digital event guide.

Access to the app will become available approximately two weeks prior to the event. A link with instructions will be emailed to you at that time.

Name Badges
If a badge is forgotten or lost, we will not be able to provide you with a replacement. To re-enter the event you will have to purchase a new ticket.
Required Headshot

A photo is required of all Guests. It will be uploaded to your networking app profile.

So, if you are not an on-stage presenter and have not already provided us with a photo click here.

As a courtesy, we are happy to provide our Sponsors with a discounted admission price for additional representatives ($700 per person — for company employees only.)

Sponsor Form and Important Deadlines
Online Sponsor Form
Upon your Sponsorship purchase, our office will email you a link with password to access your custom online Sponsor Form.
Here you will be able to input or update all information we require of you, including your designated contact person, marketing materials, company representatives attending, and speaker information. Although you may return to this form at any time to make updates, please keep the following deadlines in mind.

Marketing Material – At a minimum, without a logo and URL we cannot include you on our website or in any email campaigns.

ASAP. Please submit today if possible. 
Completed Online Sponsor Form – Timely submissions play a critical role in our event production. We appreciate your cooperation.

Guests' Data
We do not provide Guests’ data.

Any exchange of contact information is entirely voluntary on the part of our Guests. However, our custom networking app will help facilitate your outreach before, during and after the conference.

Access to the app will become available approximately one month before the event.

The FedEx Office Print & Ship (Business) Center at the Fairmont offers you virtually everything you need to meet your convention exhibiting needs — from packing and shipping to signage, copying and last-minute office supplies.

Overnight rates apply to any car remaining parked or entering after 7 pm.
In-and-out passes are available to hotel guests, but please note that the overnight rate will still apply to any car returning after 7 pm.
