A gathering of Pitbull Conference attendees & sponsors, kicking off what will be a great event! Please plan to join us for some music, cocktails, and hors-d’oeuvres.

This event is for registered Sponsors, VIP, Premier & General Admission guests only. RSVP required.

Monday Evening Booth Set-Up & Early Check-In

Monday, Oct 22
6 pm – 7 pm
Four Seasons Ballroom

Gold, Silver, Bronze, and Copper Sponsors are allotted a 10’x10′ space and will be provided a 6’ x 30” brown skirted table with two chairs.

Ruby Sponsors are allotted space to display one 8′ tall x 3′ wide banner and will be provided a small round 30″ x 30″ high draped table with one chair.

Before entering ballroom to set-up, Sponsors may check-in to receive their name badges. This will expedite entry into that evening’s VIP Cocktail Party. You will not be allowed to pick up anyone else’s badge other than your own. A photo ID will be required.

If you have ordered any AV services, please allow extra time to set up.

If there is any possibility you or your team will not be able to set up at this time, you MUST contact [email protected] to make special arrangements.

Charging Stations

The only charging stations allowed at the event are those provided by Pitbull Conference, with branding rights available for purchase.

Tuesday Evening Booth Breakdown Times

The Four Seasons Austin is a beautiful venue. However, because of limited space, we need to adhere to specific times for booth breakdowns. Thank you in advance. Your assistance will make for a seamless transition into our After Party event.

If your booth is located in the…

San Jacinto Ballroom and Foyer – begin at 5 pm and complete by 5:30 pm

Four Seasons Foyer (space just outside the main presentation room) – begin at 5 pm and complete by 5:30 pm

Four Seasons Ballroom (the main presentation room) – You may begin once presentations are officially concluded at approximately 5:30 pm. If you would like to enjoy the After Party first, the ballroom will be open until 8 pm.

Shipping Packages To & From the Hotel

Shipments In
The hotel features a full-service shipping and receiving office. Packages will be stored in a separate conference storage area. Limited space is available for the storage of large items. Plan to have your shipment arrive on October 18th. No more than two working days before the event.

Please note that the transport of large items through the parking lot or main hotel entrance is prohibited. The only point of entry or exit is via the loading dock.

Pallets or Crates
If you are shipping your items in pallets or crates, please contact our office at [email protected], as these deliveries may require some coordination with the hotel’s loading dock.

Bring Your Tracking Information with You
In the event there is a problem locating your packages on site, it is imperative that you have this information on hand. The hotel staff will not be able to assist you without a confirmation of delivery. We strongly recommend you monitor the status of your shipment along its route, to avoid any surprises Monday evening.

Collecting Your Shipped Items
All properly labeled shipments will be automatically brought to the ballroom on Monday, Oct 22nd for the evening set up. However, if you have not properly labeled your shipment, you will have to contact the hotel’s Shipping & Receiving office to have your packages brought to the ballroom. These packages will be brought up on a first come first serve basis.

Shipment Out
If shipping items out, you must come prepared with your own shipping labels as well as supplies for repackaging. The hotel will then remove properly labeled and boxed items from ballroom for shipment out the following morning.

Hotel Parking

Valet Parking Day Use:  $18

Self Parking Day Use:  $16

Overnight Parking:  $45 per night

(As a courtesy the hotel has extended in-and-out privileges to our Sponsors.)

Booth Numbers & Assignments

When shipping packages or ordering AV rentals, you do not need to provide a booth #. We will inform the hotel of your booth location, and they will accommodate accordingly.

Audio Visual, Electrical & Payment Authorization Form

If you require assistance with any audio visuals, monitors, or access to an electrical power source, arrangements must be made in advance by submitting the Exhibitor Order Form.

Business Center

The Four Seasons has a self-service business center open all week, 24 hours a day.

15 minute breaks will be taken intermittently throughout the day.

Reminders and Tips

• Photo ID required for registration check-in for both the days

• Proof of registration (confirmation letter)

• Business attire required (sport coats or suits for gentlemen)

• The ballroom tends to be cold, so please bring a sweater or jacket.

• No cameras or audio recording equipment is allowed.

• If you are planning on using a laptop, please be sure to come with a fully charged battery and a spare as access to electrical outlets in the ballroom is not guaranteed.

• Badges and wristbands must be worn at all times. NO EXCEPTIONS. You will not be allowed back into the event without both.

Required Headshot

A photo is required of all Guests. It will be used to identify you the day of the event for faster check-in, and uploaded to your networking app profile if needed.

Guests' Data

We do not provide Guests’ data.

Any exchange of contact information is entirely voluntary on the part of our Guests. However, our custom networking app will help facilitate your outreach before, during and after the conference.

Access to the app will become available approximately one month before the event.
