Sponsor Form and Important Deadlines

Online Sponsor Form
Upon your Sponsorship purchase, our office will email you a link with password to access your custom online Sponsor Form.
Here you will be able to input or update all information we require of you, including your designated contact person, marketing materials, company representatives attending, and speaker information. Although you may return to this form at any time to make updates, please keep the following deadlines in mind.

Marketing Material – At a minimum, without a logo and URL we cannot include you on our website or in any email campaigns.

Friday, September 17 @ 5 pm PST.
Completed Online Sponsor Form – Timely submissions play a critical role in our event production. Any changes made after this date are not guaranteed to be implemented before the event.

Notice of Company Reps Attending – To use all of the Rep passes you are entitled to, you must provide all names and contact info by this date.

Shipping Packages To & From the Hotel

Shipments In
Plan to have your shipment arrive no earlier than Monday, October 11.

Please note that the transport of large items through the parking lot or main hotel entrance is prohibited. The only point of entry or exit is via the loading dock.

Pallets or Crates
If you are shipping your items in pallets or crates, please contact Jared Dubick (contact listed below), as these deliveries may require coordination with the hotel’s loading dock.

Fees & CC Authorization

  • Less than 5 pounds: $5
  • 6–20 pounds: $10
  • 21–50 pounds: $15
  • 51 pounds and over: $25
  • Pallets: $150
  • All charges are subject to 6.75% Sales Tax.

To cover these fees, you will have the following options:

  • Charge them to your room
  • Fill out a credit card authorization form on-site during setup

Regardless, you must Jared Dubick well in advance of your shipment’s arrival. He will answer your questions, note the number of packages you are sending and your choice of payment.

All packages should be numbered (i.e. 1 of 5, 2 of 5, etc.)

Bring Your Tracking Information with You
In the event there is a problem locating your packages on site, it is imperative that you have this information on hand. The hotel staff will not be able to assist you without a confirmation of delivery. We strongly recommend you monitor the status of your shipment along its route, to avoid any surprises.

Collecting Your Shipped Items
All properly labeled shipments will be automatically brought to the ballroom on Sunday, Oct 17th for the set up. Packages not properly labeled will result in delays. These packages will be brought up on a first come first serve basis.

Shipment Out
If shipping items out, you must come prepared with your own shipping labels as well as supplies for repackaging. The hotel will then remove properly labeled and boxed items from the ballroom for shipment out. Please inform FedEx/UPS that they can pick up your return shipment on Tuesday, October 19th.

Booth Numbers & Assignments
When shipping packages or ordering AV rentals, you do not need to provide a booth #. We will inform the hotel of your booth location, and they will accommodate accordingly.
Audio Visual & Electrical

If you need any of the items listed below, arrangements must be made by submitting an Encore Exhibitor Order Form by Friday, October 1st.

  • Internet access other than standard wireless use

The only charging stations allowed at the event are those provided by Pitbull Conference, with branding rights available for purchase.

Sunday Evening Booth Set-Up & Early Check-In

(Times listed are subject to change. Please be sure to check back in as we move closer to the event date.)

Lost Pines Grand Ballroom Foyer

Before entering ballroom to set-up, Sponsors may check-in to receive their name badges. This will expedite entry into that evening’s VIP Cocktail Party. You will not be allowed to pick up anyone else’s badge other than your own. A photo ID will be required and your proof of registration.

Gold, Silver, Bronze, and Copper Sponsors are allotted a 10’x10′ space and will be provided a 6’ x 30” brown skirted table with two chairs.

Ruby Sponsors are allotted space to display one 8′ tall x 3′ wide banner and will be provided a small round 30″ x 30″ high draped table with one chair.

If you have ordered any AV services, please allow extra time to set up.

Monday Evening Booth Breakdown Times

You may begin breaking down your booth once presentations are officially concluded at approximately 5:30 pm. If you would like to enjoy the After Party first, the ballroom will be open until 8 pm.

Guests' Data

We do not provide Guests’ data.

Any exchange of contact information is entirely voluntary on the part of our Guests. However, our custom networking app will help facilitate your outreach before, during and after the conference.

Access to the app will become available on Monday, October 4th.

Information submitted after Monday, September 27th, is not guaranteed to be uploaded to app before event.

Name Badges
If a badge is forgotten or lost, we will not be able to provide you with a replacement. To re-enter the event you will have to purchase a new ticket.

Reminders and Tips

• Photo ID and proof of registration are required to check in.

• Business attire required (sport coats or suits for gentlemen.)

• Although it is warm in Austin this time of year and many networking activities are set to take place outdoors, the ballroom tends to be cold, so please bring a sweater or jacket.

• Comfortable shoes are HIGHLY recommended for the short walk outdoors to and from the lunch and party venues.

• No cameras or audio recording equipment is allowed.

• Badges must be worn at all times. NO EXCEPTIONS.

• If a badge is forgotten or lost, we will not be able to provide you with a replacement. To re-enter the event you will have to purchase a new ticket.

Day Use Valet Parking:  $18

Day Use Self Parking:  0-1 hour no charge, 1-4 hours $8, 4-8 hours $12

Overnight Valet Parking:  $38 per night

Overnight Self Parking:  $18
