A gathering of Pitbull Conference attendees & sponsors, kicking off what will be a great event! Please plan to join us for some music, cocktails and hors d’oeuvres.
Shipping & Receiving Packages
The Ritz-Carlton shipping and receiving office will handle your FedEx/UPS packages shipped to the hotel.
Packages may be delivered up to 3 days in advance.
The hotel will charge a $5 handling fee, plus service charge and sales tax.
A credit card authorization form must be on file to ship to and from the hotel.
Fill out this Credit Card Authorization Form and email to:
Lastly, you must email Carlye Cowheard your tracking information. She will work with you to confirm that the hotel has received your shipment.
Collecting Your Shipped Items
All properly labeled shipments will be automatically brought up to the ballroom on Sunday, Oct 22nd for the evening set up. However, if you have not properly labeled your shipment, you will have to contact the Shipping & Receiving team to have your packages brought to the ballroom. These packages will be brought up on a first come first serve basis.
FedEx boxes: If shipping items out, you MUST come prepared with your own FedEx shipping labels as well as supplies for repackaging. The hotel will then remove properly labeled and boxed items from ballroom for shipment out the following morning. The hotel is contracted with FedEx and pick up will be automatic the following morning.
UPS boxes: If shipping items out, you MUST come prepared with your own UPS shipping labels as well as supplies for repackaging. The hotel will move all properly labeled UPS packages from the ballroom to their loading dock. However, because the Ritz-Carlton is not contracted with UPS you MUST schedule a pickup yourself for Tuesday, Oct 24th.
Pallets or Crates
The Ritz-Carlton cannot accept shipments of pallets or crates. You must coordinate with the freight company of your choice to have them delivered locally and stored off site until booth set up Sunday, Oct 22nd.
The hotel does not have a freight elevator. Therefore, your freight company must both break down your palleted or crated items and deliver them to the ballroom.
Handling of outgoing pallets or crates will need to be coordinated with the hotel to work out re-assembly and shipment out. There is a $125 hotel handling fee per crate or pallet. Please contact Carlye for more information—find contact info below.

Booth Numbers & Assignments
When shipping packages or ordering AV rentals, you do not need to provide a booth #.
Booth assignments are finalized at the venue before Sponsors arrive for set up.
We will inform the hotel of your booth location and they will accommodate accordingly.
Audio Visual & Electrical
If you require assistance with any audio visuals or access to an electrical outlet for your booth, arrangements must be made with the hotel in advance. Audio Visual Order Form pdf

Day's Time Table for Monday Oct 23rd
Giveaways are strongly encouraged. They are an effective way of bringing extra attention to your company.
Popular giveaways include i-Products, cameras, gift cards, alcohol, cigars and casino chips.
On the morning of the event you may bring your giveaway item(s) to Kathleen Rosen at the registration desk or Julie Ryan at the audio visual table located in the ballroom.
Attach your company’s business card to the item and be sure to have the giveaway professionally presented.
Please no handwritten certificates.
Within 5-7 business days following the event, you will receive an email with directions on how to download the days PowerPoint presentation from our website.
Cross Promotion Graphics
Announce your participation as a Pitbull Sponsor, Speaker or Round Table Panelist on your website.
Please feel free to download and use any of the artwork provided below. We are also happy to create any custom art you might need.
If you are able to hyperlink the graphic that is ideal, if not, please place www.pitbullconference.com either beside or below the graphic.
Whova Event App
Pitbull Conference would like to announce that for our upcoming October event, we will be again using the Whova Event App—an amazing tool that facilitates communication, maximizes networking and promotes your participation as a sponsor.
The Whova download is free and allows you to:
- View the event agenda and plan your schedule.
- Plan ahead whom to meet at the event by browsing attendee profiles in advance.
- Send in-app messages and exchange contact info.
- Receive update notifications from organizers.
- Access maps, parking, airport and transportation information.
We will be providing all Sponsors access to the app in advance of conference attendees. This will allow you time to create or update your profile and become acquainted with all features. Therefore, once you are notified that our October event is posted to the app, please download ASAP.
Instructions for New Users:
- Go to the App Store or Google Play on your phone or mobile tablet.
- Enter and search “Whova Event App” in the search bar.
- Once the app appears, click to download and open.
- You will then be asked to “Sign Up/Sign In” using your email. (Please use the same email associated with your registration.)
- You will then be prompted to provide profile and contact info.
- My Profile: The information entered here will be visible to all Pitbull attendees.
- My Contact Info: The information entered here remains private unless you initiate or accept a contact exchange.
- As a Sponsor representative, some basic info has been pre-loaded by our office.
- Once signed in, you should have immediate access to “Pitbull Conference Oct 2017 Ritz-Carlton Ft. Lauderdale”.
- Click on the Pitbull event to begin utilizing all app features.
- The Whova icon should now appear on your mobile device screen.
Instructions for Users Already Signed Up through Pitbull:
- Log into Whova from you phone, where you should easily find the link for Pitbull’s June event.
- Click and begin networking.
If you do not gain access to the Pitbull event automatically, it may be because the email we have on file for you, differs from the one you used to sign up or in with. To rectify this, please contact us at email@example.com
