Sponsor Form and Important Deadlines
Online Sponsor Form
Upon your Sponsorship purchase, our office will email you a link with password to access your custom online Sponsor Form.
Here you will be able to input or update all information we require of you, including your designated contact person, marketing materials, company representatives attending, and speaker information. Although you may return to this form at any time to make updates, please keep the following deadlines in mind.

Marketing Material – At a minimum, without a logo and URL we cannot include you on our website or in any email campaigns.
February 14th is the official deadline. However, it is best to submit ASAP.
Completed Online Sponsor Form – Timely submissions play a critical role in our event production. We appreciate your cooperation. Any changes made after this date are not guaranteed to be implemented before the event.
Discounted hotel room offer at the Ritz expires. However, the room block may sell out well before this deadline.

Notice of Company Reps Attending – To use all of the Rep passes you are entitled to, you must provide all names and contact info by this date.
Booth Numbers & Assignments
When shipping packages or ordering AV rentals, you do not need to provide a booth #. We will inform the hotel of your booth location and they will accommodate accordingly.
Shipping & Receiving Packages
The Ritz-Carlton shipping and receiving office will handle your FedEx/UPS packages shipped to the hotel.
Packages may be delivered up to 3 days in advance.
The hotel will charge a handling fee of $5 incoming/per box, $5 outgoing/per box, plus service charge and sales tax.
A credit card authorization form must be on file to ship to and from the hotel.

Lastly, you must email Hanae Meza your tracking information. She will work with you to confirm that the hotel has received your shipment.
Bring Your Tracking Information with You
In the event there is a problem locating your packages on site, it is imperative that you have this information on hand. The hotel staff will not be able to assist you without a confirmation of delivery. We strongly recommend you monitor the status of your shipment along its route, to avoid any surprises Sunday evening.
Collecting Your Shipped Items
All properly labeled shipments will be automatically brought up to the ballroom on Sunday, March 15th for the evening set up. However, if you have not properly labeled your shipment, you will have to contact the Shipping & Receiving team to have your packages brought to the ballroom. These packages will be brought up on a first come first serve basis.
FedEx boxes: If shipping items out, you MUST come prepared with your own FedEx shipping labels as well as supplies for repackaging. The hotel will then remove properly labeled and boxed items from ballroom for shipment out the following morning. The hotel is contracted with FedEx and pick up will be automatic the following morning.
UPS boxes: If shipping items out, you MUST come prepared with your own UPS shipping labels as well as supplies for repackaging. The hotel will move all properly labeled UPS packages from the ballroom to their loading dock. However, because the Ritz-Carlton is not contracted with UPS you MUST schedule a pickup yourself for Tuesday, March 17th.
Pallets or Crates
The Ritz-Carlton cannot accept shipments of pallets or crates. You must coordinate with the freight company of your choice to have them delivered locally and stored off site until booth set up Sunday, March 3rd.
The hotel does not have a freight elevator. Therefore, your freight company must both break down your palleted or crated items and deliver them to the ballroom.
Handling of outgoing pallets or crates will need to be coordinated with the hotel to work out re-assembly and shipment out. There is a $125 hotel handling fee per crate or pallet. Please contact Hanae Meza for more information—find contact info below.

Audio Visual & Electrical
If you require assistance with any audio visuals, monitors, or access to an electrical power source, arrangements must be made in advance by submitting an Audio Visual Order Form pdf and Credit Card Authorization Form.
AV orders may be placed up until March 8th, but to guarantee services, orders must be submitted by March 1st.

Sunday Evening Early Check-In & Booth Set-Up
Begins at 5:00 pm

Before entering ballroom to set-up, Sponsors may check-in to receive their name badges. This will expedite entry into that evening’s VIP Cocktail Party that begins at 7 pm. You will not be allowed to pick up anyone else’s badge other than your own. A photo ID will be required.
5:00 pm – 7:00 pm
Grand Ballroom & Foyer (4th floor)
Gold, Silver, Bronze, and Copper Sponsors are allotted a 10’x10′ space and will be provided a 6’ x 30” skirted table with two chairs.
Ruby Sponsors are allotted space to display one 8′ tall x 3′ wide banner and will be provided a small round 30″ x 30″ high draped table with one chair.
If you have ordered any AV services, please allow extra time to set up. If there is any possibility you or your team will not be able to set up at this time, you MUST contact firstname.lastname@example.org to make special arrangements.

Booth Breakdown on Monday
Please DO NOT begin breaking down your booth until Mr. Rosen has formally concluded the event.
If you would like to make an appearance at the After Party before breaking down your booth, the ballroom will be open until 8 pm.
The only charging stations allowed at the event are those provided by Pitbull Conference, with branding rights available for purchase.
Pitbull Conference Networking App
With the goal of taking your event experience to the next level, Pitbull Conference will be using our own networking app—a fantastic networking tool and digital event guide.
Access to the app will become available approximately one week prior to the event. A link with instructions will be emailed to you at that time.
Cross Promotion Graphics
We do not provide Guests’ data.
Any exchange of contact information is entirely voluntary on the part of our Guests. However, our custom networking app will help facilitate your outreach before, during and after the conference.

There is a self-serve business office on site, located on the 4th floor. The office is open 24/7 for all hotel guests.
